So you want to implement an innovative new IT solution for your business. That’s great, and we’re happy to hear that you’re investing in the transformative power of technology… but what do your employees think about the change, and how can you communicate with them in a way that encourages them to embrace the new technology rather than disregard it?

Emphasize How the Solution Addresses a Problem

Before we get too into the weeds, we need to address one important question: are you implementing a solution that your business actually needs?

This is a good question to ask before you implement any solution, but especially where your team is concerned. They might perceive a new solution as just another tool to learn when what you have already is good enough for what they need. Ideally, you collect feedback from your team about the quality of their IT tools before you implement a solution.

By collecting feedback, this gives you ammo for the next part of the conversation: addressing personal gains and team benefits.

Highlight the Personal Gains of Individuals and Teams

Employees like to feel heard, and if you implement a solution that solves a problem they’ve been experiencing, they’ll be much more receptive to implementing a new tool.

Take a moment to address how individual employees benefit from using the new tool. You might highlight how much time your employees save through a streamlined workflow or process. You might also choose to call out specific feedback in your announcement—feedback that your employees should recognize as their own.

In general, it’s good to ask for your team’s opinion when implementing new solutions, as they’re often on the frontlines of the work and they have a different perspective of it compared to you or other members of your management team.

Showcase the Long-Term Advantages of the Solution

Your team knows on a fundamental level that their employment depends on the success of your business, so they should be supportive of a solution that puts your company in a better place.

Addressing individual benefits can be powerful, but when you showcase how each of them using a new solution can contribute to something bigger than themselves, you create a shared purpose. For example, a new security solution protects them from developing threats, and a new communications tool allows for better customer service. Whatever the example you use, make sure that your team feels like they are contributing to something bigger than themselves, and they’ll be more likely to jump on board with your new technology.
